ABOUT THE POSITION:

CEC is seeking an experienced professional to join our team as a Donor Database Administrator. This position is responsible for creating systems and maintaining daily operations in our Development Office to advance CEC’s ability to build, grow, and sustain strong and effective relationships with donors.

The Donor Database Administrator reports to the Director of Development and provides critical leadership in overseeing an accurate and efficient donor database and other systems. This person is responsible for tracking, processing, acknowledging, and reporting all charitable contributions received by the Community Environmental Council. In addition, this person drives performance optimization, identifies enhancements to software technology, and participates in integration with other systems throughout the organization.

PRIMARY RESPONSIBILITIES:

  • Serve as Customer Relationship Management (CRM) system admin with full ownership of the CRM application(s), including integrating systems, optimizing performance, creating new templates/reports/workflows, and developing dashboards.
  • Support Development Office revenue goals by creating and overseeing the donor prospect system (Moves Management).
  • Manage workflow of data entry and gift processing, including creating and updating donor profiles and records, coding and posting gifts, processing donor acknowledgements, and creating and maintaining documentation and reports.
  • Grow, clean and segment the donor database to maximize performance of fundraising appeals and campaigns. This includes managing list pulls, sourcing or purchasing new lists, troubleshooting database issues and monitoring database health.
  • Manage integration with third-party systems as needed (such as Donorbox, Square, Hubspot, Mailchimp, Quickbooks, and event registration apps).
  • Manage relationships with third-party vendors and outside software development consultants, as required.
  • Act as a resource to the Development Office and CEO, including analyzing donor trends, providing insights for fundraising and engagement strategies, and preparing reports and dashboards.
  • Update and maintain governance documents for gift processing, database use, and Standard Operating Procedures.
  • Collaborate with other CEC operations managers, including Program Operations, Communications Operations, and Accounting Manager, to coordinate database administration, integration, integrity, and analysis.
  • Oversee metrics and reporting for annual giving, campaign pledges, legacy giving, and special events.
  • Coordinate and support other assigned projects within the Development Department.

SKILLS AND QUALIFICATIONS:

  • Extensive hands-on/administrative level experience with donor databases and CRM systems (such as Salesforce, HubSpot, Bloomerang, or Razer’s Edge), including proficiency in building reports and dashboards. Experience with migrating data from one CRM or donor database to a new system is preferred.
  • Strong attention to detail and accuracy in recording, tracking and issuing information.
  • Understanding of basic fundraising and donor stewardship or customer service principles.
  • Experience with project management software, such as Asana, Google Products, and Microsoft Office.
  • Demonstrated ability to independently organize, plan, and carry out activities to meet specific timelines and goals on multiple initiatives. Ability to drive projects forward end-to-end.
  • Ability to maintain confidential information.
  • Strong interpersonal communication skills and the ability to work effectively with a wide variety of people.

JOB STATUS AND COMPENSATION:

  • Salaried, Exempt; 40 hours/week
  • This position will be based out of our office in Santa Barbara, California, and is eligible for hybrid in-office and remote work.
