Orrick currently has an opportunity for a HRIS Specialist – Ops & Performance Management. This position could be in any of our U.S. office locations (Austin; Boston; Houston; Los Angeles; New York; Menlo Park; Orange County, Portland, Sacramento; San Francisco; Santa Monica, Seattle, Washington DC or Wheeling, WV) and consideration given for 100% remote US locations.

Responsibilities:

Under the direction of the Human Resources Systems Manager and HRIS Operations Lead, the HRIS Specialist will provide Human Resources Information Systems (HRIS) initial support for HR Systems, including configuring and supporting firm’s attorney and staff performance management processes in viDesktop as well as data management functions in PeopleSoft HCM, UKG Pro, and Service Now applications.

Performance Management:

  • Day-to-day administration of attorney and staff performance review system (currently viDesktop) – answer questions from HR and Lawyer Development, system/admin access, and printing prior reviews.
  • Configure/support all annual and one-off processes in accordance with the annual cycle timeline, including but not limited to:
    • Create new processes, making requested updates, and adding process improvements.
    • Utilize Microsoft Excel and Microsoft SQL Server Management Studio to load reviewer/reviewee groups, set up reviewer-reviewee relationships, and create teams.
    • Branch forms to ensure reviewee population are assigned to the correct review form.
    • Run regular and ad hoc reports (using SQL, PeopleSoft Query, and Excel) to monitor performance review cycles and to analyze performance management results.
    • Receive/monitor weekly addition reports and add new hires to applicable ongoing processes.
  • Support multiple teams as they implement new modules and/or move existing processes to new viDesktop/viGlobal versions such as viWave, Real-Time Feedback, Work Allocation, and Utilize.
  • Other duties and responsibilities for performance and talent management (supporting iCIMS or other systems) as assigned.

HRIS Data Maintenance:

HRIS Specialist will provide support, data validation, and maintenance for PeopleSoft HCM, UKG Pro, and ServiceNow:

  • Oversee the HRIS mailbox and first-line support, prioritizing and escalating requests for HRIS timely responsiveness and completion.
  • Process Employee Action and Separation Notices and other transaction documents. Review the inbound documents for accuracy and completeness in consideration of Orrick policies and regulatory compliance. Provide guidance on appropriate form completion and PeopleSoft coding.
  • Maintain employee data in PeopleSoft. Coordinate changes with the payroll, compensation, benefits, and IT departments, including other stakeholders as necessary.
  • Ensure compliance with Orrick's data standards for our PeopleSoft, UKG Pro, and ServiceNow systems. Assist new users in how to use the systems and process various transactions.
  • Produce queries and reports to validate the accuracy of data and support the daily audit.
  • Maintain organizational and position-related data in the PeopleSoft and UKG Pro set-up tables.
  • Support talent management systems assessments and implementations, collecting and documenting requirements details, participating in user acceptance testing, and configuring set-up tables.
  • Other HRIS duties and responsibilities as assigned.

Qualifications:

  • Bachelor’s Degree or equivalent experience.
  • Two or more years demonstrated experience in a HR department of a professional services organization preferred. Good knowledge of HR business procedures, information requirements, and performance management.
  • Advanced working knowledge required:
    • MS Office Suite (i.e., Excel and Word)
    • PeopleSoft or similar HRIS systems
    • viDesktop or similar performance management systems
  • Working knowledge preferred:
    • Microsoft SQL Server Management Studio
    • HTML
    • iCIMS or similar talent management system
  • Capable of both good teamwork and independent problem solving. Must be self-sufficient when needed.
  • Able to maintain complete confidentiality and discretion.
  • Excellent customer focus, along with strong verbal and written communication skills required.
  • Must have strong attention to detail and be highly accurate.
  • Ability to multi-task and organize information required.
