The Senior Systems Engineer, Collaboration Engineering position, will be a CarMax leading expert on O365 and Collaboration tools in general. This individual is responsible for providing development, engineering, and operational support for the CarMax SharePoint/O365 environment and all additional collaboration tools that are part of the Workforce Technologies portfolio. They will be responsible for administrating, maintaining, integrating, and deploying various new services, O365-based business solutions as well as establishing standards, processes, and configuration guidelines. The role will be responsible for driving user adoption of the Collaboration tool portfolio and will take a lead role in running the internal O365 Champions group. The position designs and tests plans to ensure the stability and integrity of systems, troubleshoots and analyzes failures to minimize outages and service interruptions relating to the all Collaboration services.

This position will be tightly aligned and take functional and strategic direction from Workforce Technology Leadership and requires collaborating with other members of the CarMax IT community to successfully complete assignments. This position will also maintain tight alignment with all divisions of the Enterprise Applications, Infrastructure & Operations and Security organizations. Generally, this will involve mentoring and providing direction to peers on other teams related to direction, design, and strategy of all Collaboration services.

What you will do - Essential Responsibilities

  • Establish and perform best practices for Collaboration tools for providing unassailable solutions for CarMax Associates – both technical and non-technical
  • Work closely with other IT teams to develop, deploy and maintain a sustainable update methodology and reporting practice
  • Perform project management activities in support of the program
  • Perform administrative maintenance on the O365 tenant services and associated tools to ensure optimal service response times and proper license and rights allocations
  • Work with various IT teams as required to support Collaboration related initiatives.
  • Problem analysis following any service issues to prevent recurrence.
  • Perform product testing and integration testing as needed
  • Identify security risks to our Collaboration environment and services and suggest mitigations
  • Developing and promoting standard operations documentation such as procedures, checklists, Knowledge Base Articles and user instructions
  • Ensuring systems adherence and compliance with CarMax security standards and practices
  • Extensive understanding of O365 capacity planning and services architecture to ensure accurate and immediate Tier 1-3 level administrative support
  • Analyzing designing and implementing new technologies for applications within the CarMax O365 environment
  • Providing accurate and relevant budgeting documentation such as quotes, purchase orders, analysis, proposals, etc.
  • Developing and implementing SharePoint/O365 and Collaboration tool based enhancements that improve productivity of Associates
  • Adhering the CarMax IT Agile/Lean Practices and Project Methodology
  • Leading or participating in projects that involve several different IT departments
  • Performing root cause analysis and repair of technical issues and trends to include assisting team members as needed
  • Develop and implement Technical Standard, Governance, Controls and automation in-line with operational, security and audit requirements
  • Educating, training, and providing support to other team members and associate base on newly released Collaboration offerings and/or services, technologies and processes
  • Reviewing work related documentation for team members
  • Motivating, mentoring and assisting team members in reaching goals
  • May be required to participate in on-call rotation perform after hours support as required
  • Participates in customer/project meeting(s) and assists in design review.
  • Evaluates the needs and requirements of the user population and works closely with Leadership and Architects to provide solutions in alignment with licensing policies and future technical direction
  • Will be responsible for opening, tracking and reporting on Microsoft Premier tickets as needed as well as responsible for identifying and raising awareness of any credit eligible service outages per the Microsoft Services agreements
  • Use PowerBI and other reporting tools to create reports and live dashboards for Sr Leadership, Business stakeholders and other teams that need insight into tenant activity and usage
  • Effectively leads large efforts as required and coordinates the management of deliverables across IT teams
  • Summarizes Post-Mortem communications to the business and executive sponsors
  • Influences the work of others to drive medium and large projects to successful completion through effective project management, customer interaction and IT coordination
  • Responsible for mentoring others in best practices, procedures, and concepts
  • Steers the relevant support tasks of other associates
  • Drives through obstacles and time constraints to successfully deliver a project to completion
  • Can effectively manage the tasks responsible for multiple projects and report upon their status & task timings
  • Delivers solutions through building consensus in both business and technical perspectives
  • Other duties as assigned

Qualifications and Requirements

  • Have a solid understanding of ITIL Change & Release processes as well as various service and application delivery methodologies
  • Expert knowledge of the O365/Sharepoint environment including applications, features, configuration, integration and problem resolution.
  • Expert knowledge and experience with the Microsoft Power Platform
  • Expert knowledge of Microsoft Exchange Online/Server and core elements: Active Directory, Federation Services, DNS, High Availability and Disaster Recovery Configurations, Mail Flow and Connectors, Outlook client configuration, PowerShell, SMTP, SSL/TLS
  • Expert experience and skill in the use of PowerShell to report on, manage, integrate and automate O365 services.
  • Proven technical skills to support the organization in recommending technology, making purchasing decisions and mentoring other team members.
  • Proven ability to communicate and promote concepts to a diverse range of individuals
  • Ability to establish and maintain effective working relationships with co-workers, executives, officials, vendors and the general public
  • Must be a self-starter, motivated, detail oriented and committed to excellence
  • Proven ability to manage own schedule/tasks and work independently with limited supervision
  • Must be an analytical and strategic thinker and possess a strong ability to multi-task
  • Consistently make forward thinking trade-off decisions that balance product quality, time-to-market and functionality
  • Possess strong organizational and time management skills and flexibility to manage multiple business priorities
  • Ability to generate timely, concise, and effective business correspondence.
  • Proven ability to create and review server solutions that meet business needs and effectively communicate the rationale behind those solutions

EDUCATION/EXPERIENCE

  • Expert skills in Office 365 (Identity, Authentication, Administration, Implementation, Exchange, Skype).
  • 4+ years of SharePoint/O365 advanced experience
  • 4+ years of PowerShell use in Production environment. Must be able author scripts from scratch and perform complex automation and integration activities.
  • 2+ years of Azure and Process Automation
  • 4+ years of experience with Exchange Online/Server and Office 365.
  • 5+ years of SharePoint/O365 feature, application and solution development experience Prior experience with Microsoft tools (SCCM/Intune)
  • 5+ years of Windows Server/AD experience, preferred
  • Prior experience with PowerBI, Tableau or similar reporting tools
  • 4 year degree (in IT related course of study), preferred
  • Expert knowledge with the Microsoft Power Platform.
  • Microsoft MCSA – SharePoint, O365, Windows Server, Exchange or Azure, preferred
  • Prior experience with establish IT Governance and Controls. Experience with 3rd party tools such AvePoint or Sharegate preferred
  • Experience with other Collaboration tools such as Whiteboarding, social and communication platforms, knowledge management platforms, hoteling systems, and smart space management systems a plus.
  • Experience with software development, API’s and languages such as C#, .net, JavaScript, Python, etc… a plus.
  • Migration experience and proficiency troubleshooting these platforms a plus.
  • Experience and skills in some of the following areas a plus:
  • Hybrid configurations between on-premises Exchange Server and Office 365
  • Moving or expanding Active Directory from on-premises to Azure Active Directory
  • Public folders migrations
  • Integrating MS Phone System with 3rd party phone systems / Direct Routing
