Columbia University is seeking a Project Coordinator for the technology unit within the Office of the President. Reporting to the Associate Director, Technology, the Project Coordinator will be responsible for managing the logistical, administrative, and communications activities for a dynamic portfolio of technology-based programs and projects in the Office of the President, including for select university-wide and presidential initiatives. The technology portfolio includes, but is not limited to, website services, database management, and live event support. Additionally, the Project Coordinator will be responsible for assessing the technology needs of the Office of the President staff and exploring solutions to meet those needs, and presenting to and liaising with the appropriate internal and external staff to implement those ideas. The Project Coordinator will be expected to communicate with colleagues regarding technology projects, including presenting workshops as needed, being available for questions and troubleshooting, and deciding how to best keep projects moving forward with the goal of efficient and thorough implementation. On a per project basis, the Project Coordinator will also be expected to assist with any tasks required by the Technology team, as needed.

Responsibilities

  1. Serve as a contributing team member for content strategy, management, production, and QA testing activities for projects related to the office’s portfolio of websites, including but not limited to those for World Leaders Forum, Commencement, and various media outlets.

  2. Collaborate with internal partners, CUIT, and the Associate Director to determine the use of a variety of university-wide systems and software products, including but not limited to photo and video editing suites, cloud-based products, and various databases.

  3. Coordinate and at times oversee the live streaming of select university events and programs, with a specific focus on World Leaders Forum and Commencement activities, including consulting on the required streaming and audio-visual components prior to an event with the event planning team. Prepare and provide regular pre and post-event key performance indicator reports and infographics.

  4. Research, write, edit, and proofread correspondence, briefings, and reports on a variety of topics: project proposals, charters, and plans; technical guides, and explanatory documentation. Review Statements of Work and Service Level Agreements for completeness and accuracy, in close collaboration with the Associate Director.

  5. Facilitate all aspects of large-scale project planning and execution and lead small- and medium-scale projects. Manage the completion of project activities, focusing on status monitoring and schedule management, and communicating project status to team members and/or stakeholders, and escalating issues as needed to the Associate Director.
  1. Develop and update training modules and provide technology trainings for all new technology implementations, changes, and upgrades for individuals and groups as needed.

  2. Liaise with internal clients and partners, external vendors, and other groups to define project objectives, scope, schedule, and cost.

  3. Assist the IT team in providing help desk support for members of the office, such as resolving basic software and hardware issues.

Minimum Qualifications for Grade:

Bachelor’s degree or its equivalent required. Minimum 2 years related experience.

Additional Position-Specific Minimum Qualifications:

Excellent oral and written communication skills. Must demonstrate outstanding interpersonal skills with a focus on internal coalition building. Ability to work in a fast-paced environment while maintaining a calm and professional demeanor. Must be a team player and problem solver while taking ownership of assigned projects. Ability to handle multiple tasks and meet deadlines under pressure and with accuracy. Must be highly detail oriented. Demonstrated technological competency with front-end web development including HTML, CSS, and content management systems such as Drupal or WordPress, and demonstrated design competency with Adobe Photoshop (primarily treatment of images for web) is required. Demonstrated information technology competency with excellent technical investigative and troubleshooting skills. Proficiency with Windows and OS X environments. Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Drive (Docs, Sheets, Slides) is necessary. Confidentiality and discretion are required. Must be flexible to work some evenings, weekends, and early hours as needed.

Preferred Qualifications:

Experience managing full-stack web development projects preferred. Experience with audio visual and live stream hardware and software, as well as terminology is desirable. Experience with asset management is desirable. Experience in a university, academic medical center, major cultural institution, or large NGO/NPO or other comparable environment is desirable. Fundamental programming competency including basic JavaScript is desirable.
